Policy on exhibiting

The Association of Health Care Journalists and the Center for Excellence in Health Care Journalism seek to minimize the possibility and appearance of inappropriate influence, and so have imposed limitations on their sources of funding. This includes the types of organizations allowed to exhibit. To see if you qualify to exhibit, please see our fundraising policy.

We will be accepting a limited number of exhibitor applications from not-for-profit associations or societies that represent those who sell health care services or who lobby legislators on health care issues. If you feel you fall into Category C, please send an email to cunninghamsu@missouri.edu with information about your organization and what services you’d like to highlight at the conference. Your request will be submitted to a committee for approval either in January or February. There are limited spots available for Category C exhibitors.

Policy on sponsorship

This policy also applies to conference sponsors. Sponsorship comes with exhibitor privileges. We provide appropriate recognition through our marketing efforts before and during the conference. The earlier you become a sponsor, the more bang you’ll get for your buck. Each year, the generosity of our sponsors is what makes our conference such a tremendous success. Saturday, April 30, 7:30 a.m.-4 p.m. (tear-down begins at 4 p.m.). Closed during awards luncheon.

Receptions and luncheon

The conference will kick off with an opening session and reception on Thursday evening, an awards luncheon on Saturday and a reception on Saturday evening. Whether this is your first conference or you are a longtime exhibitor, please feel free to join us for networking with AHCJ members, sponsors and other exhibitors at these social events.

Networking

This conference will offer you the opportunity to develop long-lasting relationships with journalists who are eager to hear what you have to offer. You will uncover new prospects and leads, fortify relationships, gain exposure and save both time and energy by meeting a targeted audience. We have fabulous space this year and are pleased to offer you an excellent floor plan with continuous traffic.

Raffle for attendance and exhibit hall game card

We will have drawings during dedicated “Exhibit Crawls” on Friday and Saturday of the conference. We will have drawings for a variety of prizes that people must be present to win. Plus, on Whova app gamification (game card). Attendees visit exhibitors and get points towards a drawing for $100. Visiting more exhibitors = more chances to win.

Assignment of booth space

Exhibit space will be assigned by AHCJ staff. When possible, AHCJ will try to accommodate exhibitor requests. However, we reserve the right to make location assignments according to space and the variety of organizations in attendance.

Giveaway policy

According to policies determined by AHCJ's Board of Directors in 2010, items at exhibitor tables should be valued at $5 or less.

Payment terms

Full payment of the total contracted amount is required at the time the Exhibit Reservation is submitted. Applications submitted without full payment will not be guaranteed space until payment is received. Payment may be made with a credit card or by a check made out to AHCJ.

Cancellation fees

A 50% cancellation fee will be assessed for space cancelled on or before Jan. 28. No refunds are permitted after Jan. 28. All cancellations must be submitted via e-mail or fax. No telephone cancellations will be accepted.
